Waiver Policy
At the Global Journal of Medical and Clinical Case Reports (GJMCCR), we are deeply committed to promoting inclusive access to cutting-edge cardiovascular research. We recognize that some authors, particularly those from under-resourced regions or facing financial constraints, may encounter challenges in covering Article Processing Charges (APCs). As part of our mission to foster equitable scientific publishing, GJMCCR has established a comprehensive Waiver Policy designed to provide financial support to authors in need, ensuring that the inability to pay does not hinder the dissemination of valuable research.
This Waiver Policy applies to all article types published in the journal, including original research articles, reviews, case reports, editorials, and other accepted formats. Authors are encouraged to apply for a waiver at the time of submission, and GJMCCR maintains strict confidentiality around all waiver requests.
Eligibility for Waiver
GJMCCR strives to make academic publishing accessible to all researchers, particularly those who may be disadvantaged by financial constraints. Our Waiver Policy identifies several categories of authors who are eligible to apply for either a full or partial waiver of APCs. These categories include:
- Authors from Low-Income Countries: GJMCCR supports authors based in countries classified as low-income or lower-middle-income by the World Bank. Authors from these countries can apply for a waiver during the manuscript submission process. The financial status of the author’s institution may also be considered in evaluating the request.
- Authors with Proven Financial Hardship: GJMCCR acknowledges that financial difficulties are not limited to geographic boundaries. Authors facing financial hardship, regardless of their country of origin, are eligible to apply for a waiver. Applicants should provide a brief explanation of their situation and relevant documentation to support their request.
- Early Career Researchers: GJMCCR offers waivers to early-career researchers who have completed their doctoral studies within the last five years. Proof of eligibility may include a copy of the researcher’s doctoral degree certificate or a letter of verification from their institution.
How to Apply for a Waiver
Applying for a waiver is a simple process designed to minimize administrative burdens on authors. Waiver requests must be submitted during the initial manuscript submission process through our online submission system. The steps to apply are as follows:
- Step 1: Submit the Manuscript: Authors should begin by submitting their manuscript through the online submission system. They will encounter a section asking whether they would like to apply for an APC waiver.
- Step 2: Select Waiver Request Option: By selecting the waiver request option, authors will be prompted to provide additional information regarding their reasons for applying.
- Step 3: Upload Supporting Documents: Authors must upload supporting documents directly to the submission portal. These may include proof of institutional affiliation, letters of recommendation, or evidence of early career status.
- Step 4: Review of Request: Once submitted, the GJMCCR Editorial Office will review the request. The review is conducted confidentially and will not impact the peer-review process or the editorial decision regarding the manuscript.
- Step 5: Notification: Authors will be informed of the waiver decision within seven business days of the request being submitted.
Processing of Waiver Requests
Once a waiver request is submitted, it undergoes a thorough and confidential review by the Editorial Office. The steps involved are:
- Step 1: Initial Review: The Editorial Office reviews the information submitted by the author, including any documentation provided. This review is independent of the peer-review process.
- Step 2: Consideration of Eligibility: The Editorial Office checks the eligibility of the applicant based on the categories outlined (low-income country, financial hardship, early career status).
- Step 3: Decision Process: Waiver requests are granted based on the author’s demonstrated financial need and the availability of funds within the journal’s budget for waivers.
- Step 4: Communication of Decision: Authors are notified of the decision via email within seven business days. They may be granted a full waiver, partial waiver, or in some cases, no waiver.
Important Considerations
- Limited Waiver Availability: While GJMCCR is committed to providing financial assistance, there are limits to the number of waivers the journal can offer each year. Waivers are granted based on need and fund availability.
- No Impact on Editorial Decisions: The waiver request process is separate from the editorial review process. Manuscripts are evaluated solely based on scientific merit, and the ability to pay does not influence the editorial decision.
- Partial Waivers: In cases where GJMCCR is unable to offer a full waiver, authors may be granted a partial waiver, reducing the APCs by a certain percentage.
Privacy Compliance
GJMCCR is committed to maintaining the privacy and confidentiality of all authors in compliance with global data protection regulations such as the General Data Protection Regulation (GDPR), CAN-SPAM Act, and other international privacy laws. All information provided during the waiver request process is handled with the utmost care and is used solely for assessing waiver eligibility. Personal or financial data is not shared with third parties, including editors and reviewers.
